Folders are how you organise a growing library in the Explorer. Every item lives in exactly one folder, or in none (at the root of its space), and folders can nest inside other folders. A team has folders of its own too (Team Spaces), which work the same way.
Folders belong to your liveworkspace library rather than to one app, so one folder can hold a plan beside a Canvas from livediagram and a Design from livedesign. Choose All Apps at the top of the page to see everything a folder holds; with Plans chosen, only its plans are listed.
Creating a folder
Open My Work or a folder in the Explorer and use the Create button at the top right:
- New Folder adds a folder at the top level of My Work.
- Inside a folder, the same entry reads New Subfolder, so you can nest as deep as you need. A folder's own menu offers New Subfolder too, including from the sidebar.
A new folder starts named "New Folder" with its name ready to type over: type a name and press Enter. Your folder tree shows under My Work in the sidebar, so every folder is one click away.
Putting plans in folders
- Move an existing plan. Open its menu (its ⋯ button or a right-click) and choose Change Folder. The picker opens on your spaces: pick My Work or a team first, then click into the folder you want. A New Folder entry at the bottom creates one on the spot (New Subfolder inside a folder). Press Move Here to move it.
- Drag it. On the Explorer page, drag a plan's row or card onto a folder in the sidebar or the list, onto My Work to put it back at the root, or onto a team to move it there. A note says where it went, with an Undo. Rest the dragged plan on a closed folder in the sidebar for a moment and it opens, so you can drop into a subfolder. In the editor's Explorer panel, drag it onto a folder in the pane, or onto My Work or a team in the rail. Folders themselves move with Move Folder, not by dragging.
- Create straight into a folder. Open the folder first, then Create, New Plan, and the new plan lands inside it.
Renaming, moving and deleting
Each folder has a menu (its ⋯ button, a right-click, or Shift+F10 in the sidebar) with Open, Rename, New Subfolder, Move Folder (to move the folder and everything in it), Use as Default for… (see Default folders below) and Delete Folder.
Deleting a folder asks you to confirm first, and it doesn't delete what is inside: the items and subfolders directly inside it move up a level, into the folder it sat in or to the root of My Work. A subfolder keeps everything inside it, so a whole branch moves up one level intact.
Default folders
A default folder is where your new plans go when you make one without choosing a place; with none set, they land in My Work. Choose Use as Default for… in a folder's menu and, under New plans that open as, tick what it should collect: Plans (every new plan no more specific entry claims), Retrospective plans or Kanban plans (new plans made from one of those templates). Each entry points at one folder, so ticking it moves it from wherever it was; unticking it sends those plans back to My Work. My Work has the same menu. A team's folders work too, as long as you are a member; a team's own top level cannot be a default.
A default folder carries a small mark after its name; hover it to read what it collects. New Plan never asks where a plan goes: starting inside a folder or a team keeps you there, and otherwise the plan is filed in the default for its template, else your Plans default, else My Work. Settings > Plans > Default Folders (Where New Plans Go) lists each entry with Change and Clear, and says so when a default folder can no longer be reached. Defaults are yours alone, kept for your account or guest identity, and never move plans you already have.
Telling folders apart
In the card view a folder shows a small mosaic of what's inside it (the snapshots of the items it holds, then its subfolders), so you can tell two similarly named folders apart by sight rather than by reading. An empty folder keeps the plain folder glyph. A folder that is one of your default folders also carries a small mark after its name.
A plan that isn't filed in any folder sits at the root of My Work, beside your folders. Moving it into a folder takes it off the root.
Keep the tree shallow at first. A handful of top-level folders by project or client is easier to scan than deep nesting, and you can always add subfolders as a folder fills up.
